Adding Follow-ups and Adjusting Sending Options

Once you’ve created an Outbound Campaign, you can manage and edit your follow-up messages. Follow-up messages will reach the candidate when the candidate does not respond to the First Message or the previous follow-up.

Adding Follow-up Messages

When creating a Campaign, 3 follow-up messages will be automatically created. They will automatically be sent out depending on the number of days set between messages, by default the follow-ups will send out 3 days from the previous message. 

When a Candidate responds (which includes email bounces or automated out-of-office responses), the follow-ups will stop automatically and the Candidate Status will change to "Responded". Check out Handling Candidate Replies for more details on Candidate responses.

Adding Additional Follow-ups

Step 1. On the "Messaging" tab of your Campaign page, select "Follow-ups" on the left-hand menu. 

Step 2. Scroll down to the bottom of the "Follow-ups" section, and select "Add a follow-up".

Removing Follow-ups

Step 1. Go to the follow-up you would like to delete.

Step 2. Select the "Remove follow-up" button on the top-right corner of the follow-up.

Adjusting the Sendable Days or Number of Days of a Follow-up 

Step 1. On the "Messaging" tab of your Campaign page, select "Follow-ups" on the left-hand menu.

Step 2. Scroll down and find your selected Follow-up.

Step 3. Select the "Timing" drop-down menu.

Step 4. Adjust the number in the "Send day(s) after the first message" section.

Step 5. Adjust the days of the week the follow-up can be sent in the "Only send on these days of the week" section.

Step 6. Adjust what time the follow-up is sent in the "Choose an optional time of the day to send" section. Please note that while these options are set, your follow-up may be delayed or sent at another time if you have many follow ups queued up in your inbox.

Editing Follow-Ups in the Sourcing Slideout

You can personalize the follow-ups and replies for candidates within the sourcing slideout. Currently, you cannot adjust the sending options for follow-ups or replies within the sourcing modal.

Please note that changing the follow-ups within the sourcing modal will change the messaging for all selected candidates but will not change the messaging for the campaign overall.

To edit a follow-up or reply, select the message on the left-side menu inside the sourcing slideout.

Then select inside the message and edit as needed. Teamable will automatically save changes made to the messaging for the candidate(s) selected.

You can add and remove follow-ups by selecting the respective buttons on the left-side menu or within a message.

While you cannot change the timing of follow-ups within the sourcing slideout at this time, Teamable will show you the scheduled date for each follow-up to send below the message editor.

Replies can be edited and toggled on or off within the sourcing slideout. To edit the reply messaging, select which reply you would like to edit and change the text inside the messaging. Teamable will automatically save changes for the candidate(s) selected.

To turn replies on or off, select the toggle within the reply you would like to change.

Follow-up Templates after the First Message Sends

Adding an additional follow-up template after the first message sends

Once a messaging sequence has begun, adding an additional follow-up template will add an additional follow-up to the ongoing message sequences.

Removing a follow-up template after the first message sends

Once a messaging sequence has begun, deleting a follow-up template will remove the pending follow-up messages that have not been sent yet to candidates

Editing messaging in the follow-up templates after the first message sends

Once a messaging sequence has begun, any additional edits to any follow-up templates will apply to the pending follow-up messages that have not been sent yet to candidates. 

Adjusting the sendable days or number of days of a follow-up after the first message sends

Once a messaging sequence has begun, adjusting the sendable days or number of days between each follow-up will reschedule the pending follow-ups accordingly.
